FA Journal Types

There are 2 main Fixed Asset Journal Types:

  • Fixed Asset G/L Journal
  • Fixed Asset Journal

The Fixed Asset G/L Journal posts the line amounts to the Fixed Asset Register and the General Ledger (G/L), but the Fixed Asset Journal only posts the line amounts to the Fixed Asset Register. This is usually done for a 2^nd^ depreciation book where the posted entries are used for tax or fiscal reporting (i.e. not affecting the General Ledger).

Use of FA Posting Type

Besides purchase and sale transactions used for assets (acquisition and sale), many other asset transactions use Fixed Asset G/L Journals. The journal line distinguishes the GL account used by the FA Posting Type.



Descriptions

  • Acquisition Cost — This is a specific FA Posting Type used to add capitalisation cost to the new asset

  • Depreciation — This is a specific FA Posting Type used for depreciation posting and defaulted by the Calculate Depreciation process.

  • Write-Down — This is used for write-down of asset value.

  • Appreciation — This is used for appreciation of asset value.

  • Custom 1 & 2 — These are custom types to be configured as required.

  • Disposal — This is a specific FA Posting Type used for disposal of the asset.

  • Maintenance — This is a specific FA Posting Type used for posting maintenance costs against the asset register.

The general posting types are defined as follows:



There are four FA Posting Types defined for each Depreciation Book. Against the posting type, the different impacts on asset value are ticked. This is the standard setting and does not need to be updated. If a custom posting type is needed, the name can be updated.

The GL accounts defaulted for the asset transactions are defined in the FA Posting Groups as explained above. Each group code has different default GL asset accounts e.g. Equipment vs Vehicle vs Property.

Based on the examples above, the relevant GL accounts need to be assigned in the FA Posting Groups setup.
